The Garage is your digital vehicle inventory within the CarBuddii web dashboard. It is the central hub where you create, track, and manage all the vehicles your dealership uses for test drives, sales, and rentals.
Any vehicle you want to make available for your staff to book in the mobile app or the Plan-it calendar must first be added and configured here in The Garage.
How to Add a New Vehicle
Navigate to The garage tab from the main menu.
Click the + New vehicle button in the top right corner.
-
You have two options for adding the car:
Registration Number: The fastest method. Enter the vehicle's license plate number to automatically pull the make, model, and registration data.
Manual Entry: If the car is brand new or unregistered, you can manually type in the details.
Configuring Your Vehicle Settings
Once a vehicle is added, you can click on it in the list to open its settings card (which contains tabs for Settings, Damage, and Pictures).
Here is a breakdown of the key settings you can configure on the main tab:
1. Availability & Rental Categories
This section controls where the vehicle can be used.
Sales department: Check the "Test drives" box to allow your sales team to select this car for customer demo drives in the mobile app.
Rental category: To make the car available for booking in your Plan-it calendar, you must assign it to a Rental Category (e.g., "Rental department" or "Mechanical workshop"). If you need to temporarily take a car out of circulation, simply remove its category or uncheck the availability boxes.
2. Output Status (Expiration Dates & Mileage Limits)
Many dealerships have strict lifecycles for their loaner and demo cars (for example, a car must be sold after 6 months or 10,000 km).
You can enter a Starting kilometer limit and an Expiration date. CarBuddii monitors these limits, so if you enter an email address under your Company Details settings, the system will send you a "Vehicles Expiring" report every Monday. This ensures management is constantly updated on which cars need to be rotated out of the fleet soon.
3. Prices & Identification
Prices: Assign the vehicle to a specific "Price group" (e.g., Normal rental car) to ensure customers are billed correctly for long-term rentals.
Identification: You can assign internal Car numbers or ID tags if your dealership uses a specific numbering system for your key cabinet.
4. Mileage & Fuel Level
When initially setting up the vehicle, you can input the current Trip meter (mileage), the current Fuel level, and the tank's maximum Capacity. As staff check the car in and out using the mobile app, these numbers will automatically update.
