When a customer returns a rental or loaner vehicle with less fuel than it started with, CarBuddii is designed to automatically calculate the cost of the missing fuel and add it to the final statement for invoicing.
However, you might occasionally find that you have to manually calculate and add this cost yourself when preparing the vehicle for its next rental.
Why Does This Happen?
The most common reason for this issue is that the Fuel Tank Capacity (Tankkapacitet) has not been configured for that specific vehicle.
For the automatic calculation to work, CarBuddii needs to know the total size of the fuel tank. For example, if a car is returned half-empty, the system needs to know if "half" means 20 liters or 35 liters to correctly calculate the price.
How to spot the issue in the app:
If the tank size is missing, you will see a small blue information icon when adjusting the fuel gauge needle in the mobile app. The warning message reads:
(Enter tank size to have fuel consumption automatically calculated).
The Solution: Update the Tank Capacity in The Garage
To fix this and ensure all future rentals calculate fuel costs automatically, you just need to update the vehicle's settings in your web dashboard.
Step-by-step fix:
Log in to your CarBuddii web dashboard (
app.carbuddii.com).Navigate to The garage tab.
Find the vehicle in your fleet list and click on it to open its Settings (Indstillinger).
Scroll down to the bottom right corner to the Fuel Level (Brændstofstand) section.
Enter the correct total volume in liters into the Tank capacity (Tankkapacitet) field.
Click Save (Gem).
Once the capacity is saved, the system will automatically calculate the price of missing fuel for all future invoices!
